National College Fairs Program Manager

TITLE:           National College Fairs Program Manager

IMMEDIATE SUPERVISOR:  Director of National College Fairs
 
CLASSIFICATION:  Exempt

BASIC FUNCTION: Organizes, facilitates, and manages the day-to-day functions within the National College Fair Department to insure a smooth and timely delivery of program services.  Updates, reviews, and completes inter-departmental projects that affect the National College Fair program.  Performs administrative and operational functions which include scheduling National College Fair and PVAC dates, National College Fair mailings, publications; maintaining facility contracts and requesting/coding all invoices, web updates, distribution and quality control of projects.  Assists the Director of National College Fair in the delivery of quality National College Fairs.
 
PRINCIPLE RESPONSIBILITES
 
Administrative Tasks
 

  1. Develops and monitors a timeline for the completion of National College Fairs and Performing and Visual Arts projects.
  2. Oversees and assists in the compilation of dates for all National College Fairs and Performing and Visual Arts programs. Maintains and distributes this schedule.
  3. Maintains all facility contracts and schedules payments in conjunction with Assistant Director of National College Fairs.
  4. Oversees all mailings: newsletters, postcards, promotional flyers, etc.
  5. Orders supplies and seeks bids for program services.
  6. Oversees the exhibitor and student evaluation process.
  7. Reviews National College Fair Chair’s final expense reports.
  8. Documents and follows up with NCF contributors.
  9. Supervises an ongoing initiative to recognize, acknowledge, and support National College Fair volunteers and Performing and Visual Arts city representatives.

National College Fairs/Performing and Visual Arts Specific
 

  1. Responsible for collecting and verifying information for the production of the National College Fair Registration Booklet, Newsletters, and Exhibitor Manual.  Acts as the liaison with the publications department in the design, layout and production of National College Fairs promotional materials.  Works with the events managers and Communications, Publications and Technology department to insure that these projects are on schedule.
  2. Creates schedule for the delivery of mailings and publications in conjunction with other departments, including communicating with mail houses for special mailings.
  3. Supervises the shipping of supplies to fair locations. 
  4. Updates web content on the National College Fair website.  Acts as the liaison with the Information Services department.
  5. Assists in the research, evaluation and acquisition of facilities and decorators for cost savings.
  6. Oversees the preparation and distribution of materials for National College Fair Committee Meetings and other special events.  Assist in the development of reports.
  7. Organizes and attends National College Fairs and Performing and Visual Arts programs as requested.
  8. Oversees National College Fair Sponsorships.
  9. Follows up with NCF exhibitor no-shows.
  10. Supervises the National College Fair Waiver program.
  11. Requests and processes certificates of insurance.
  12. Performs other duties as assigned


 
QUALIFICATIONS:
 
EDUCATION:  Bachelor’s Degree Required.  Knowledge of Spanish preferred.
 
SKILLS:  Understanding of office systems, publications, and technology required.  Must be detail-oriented, well-organized team player.  Experience in a professional office setting and knowledge of html and publications is also preferred.  Must be able to multi-task and work in a fast pace environment.  Excellent interpersonal, communication and organizational skills required. Must have project leadership skills that address accountability, initiative, professional work ethics, and overall ability to work independently.
 
EXPERIENCE:  Minimum three years experience as an office administrator, office manager, project manager, or similar position, which involves multiple tasking and program management.
