PVA Exhibitor Guidelines 

Exhibitors Must Adhere to the Following Guidelines:

  • Table space will be assigned alphabetically according to the name of the institution as listed on the Registration Agreement. NACAC reserves the right to modify any and all table adjustments necessary due to space limitations
  • A/V equipment is permitted; however, NACAC cannot guarantee placement of booth next to or near a power outlet. NACAC  recommends use of a battery operated device.
  • Table displays over 20 inches tall will not be allowed. You may distribute brochures, catalogs and other appropriate items, which
    provide a factual description of your institution. Distribution of promotion items (including candy, pens, pencils, etc.) is prohibited.
  • Exhibitors must prepare their table before the opening of each fair and must remove their material from the table immediately after the close of the fair. The table will be available for exhibitor set–up approximately two hours before the fair.
  • Institutions contracting for exhibit space at a PVA college fair agree to have a representative from the institution at the table during the scheduled hours of the fair. This representative must be at the fair on time and agree to abide by the policies
    outlined on this page and by the NACAC Statement of Principles of Good Practice (SPGP).
  • Please follow the shipping deadlines outlined in the Exhibitor Manual. Failure to do so may result in your package not arriving. We suggest that you bring the tracking number or your packages to the fair, as well as any important documents and materials you may require if your box cannot be located.

Do's" and "Don'ts" For College Exhibitors

Do...

  • Remain until the end of the fair
  • Check in at the NACAC information table if you are an alumni representative
  • Try to show up at least 30 minutes before the fair
  • Be courteous to other exhibitors and fair attendees
  • Distribute only informational and educational materials about your institution
  • Stay in your exhibit space when having conversations with fair attendees
  • Fill out an exhibitor evaluation and return it to the information table at the end of the fair
  • Keep the aisles clear of boxes and materials
  • Feel free to send invitation letters to interested parents and students, notifying them of your upcoming attendance at a fair

Don't...

  • Bring displays that are taller than 20 inches high from your table
  • Leave your exhibit space unattended
  • Distribute bags, pens, candy, posters, pennants or any other promotional materials
  • Leave materials about your institution in the restrooms or any areas other than your exhibit space
  • Allow more than three representatives in your exhibit space at a time
  • Use any audio/visual equipment that will disturb your fellow exhibitors
